- Answer the phone as soon as possible after it has rung.
- Smile!
- Ensure a clear and enthusiastic greeting.
- Have a pen and pad next to the phone ready to take notes.
- Get the name of the caller, their phone number and other information ASAP and write it down, so you don’t forget.
- Be professional and polite at all times.
- Do not do other tasks whilst answering the phone.
- Do not place a call on hold for more than a minute.
- Listen!
- If the caller is looking to speak to someone who is not available, take a concise message and pass it on immediately.
